Position Summary

Under the general and direct supervision of the office manager, provides supervisory responsibilities for the billing department and billing support for Company. Perform other diverse duties as requested or required

Essential Job Functions

Computer Systems: GE Centricity Practice Solutions (CPS), Code Correct, Payment Processing, Kryptiq, Biscom, Satellite Med Email and Website, Microsoft Word and Excel, Nova Time and Adobe Acrobat. Existing and New computer systems can be changed or added at any time.

Phones: Utilize phone system properly, manage voicemails, answer phones in a courteous manner, quickly identify caller's needs, route calls appropriately, create complete flags, phone notes, route appropriately. Reply to all phone notes and flags in a timely manner. Have a working knowledge of secure messaging and Company email

Communication: Communicate with all staff, patients, and other healthcare providers in a professional and intelligent manner using phones, CPS flags and phone notes, secure messaging, and Company email; utilizing each method when appropriate. Follows up and seek resolutions to complaints per policy and problems and report them to the departmental supervisor. Report all incidents as per policy.

Billing and Accounting: Collect and post appropriate payments. Reconcile all payments from the front office the following business day. Compile daily bank deposits. Reconcile all financial reports weekly. Make appropriate patient refunds. Collect monthly data as requested and compile reports. Work patient collections and payment plans. Assist in setting up payment plans. Daily reconcile front office money bags. Monitor patient statement and company statement mailings. Work with front office supervisor to educate front office staff in critical billing and accounting procedures.

Insurance: Oversight of insurance filing procedure. Compile monthly reports for billing and for collections. Daily work insurance reports as necessary. File appeals as necessary. Work with front office supervisor to educate front office staff in critical insurance procedures.

Financial: Proper handling of money and payments. Able to use computer programs to assist in daily balances. Must be capable to reconcile and balance daily transactions. Reconcile with each employee from each cash drawer at each shift change.

Supervisor Responsibilities

  • Help lead and maintain a positive work environment
  • Assist staff in dealing with difficult patients
  • Troubleshoot issues and direct to the appropriate staff
  • Ensure procedures and processes are followed appropriately
  • Assist other supervisors with staff counseling
  • Help Corporate office to develop new workflows
  • Directs efforts at staff retention issues and minimizes employee turnover
  • Provides leadership and direction in accordance with organizational and departmental goals and objectives
  • Oversee financial transactions in the front office
  • Assist and oversee billing tasks in front office
  • Ensures knowledge of department/personal role
  • Responds to, provides direction to and supports staff during changing work loads and emergency/crises situations
  • Ensures that Compliance Laws and Regulations are followed
  • Communicates departmental and staff needs to corporate administrative team
  • Establishes and achieves high standards of performance
  • Assist Corporate to maintain the Department Guide
  • Maintains professional competence through attendance at various training courses, seminars, professional meetings

Supervisor responsibilities specific to department

  • Coordinates department personnel resources to meet patient load
  • Scheduling for billing department staff
  • Establishes education programs for department staff
  • Maintains a reference library for the department
  • Train new and existing employees in billing department procedures and processes
  • Counseling for billing department employees as necessary
  • Implement new workflows that pertain to the Department and Company
  • Manages department operations within the boundaries set by the Company
  • Manages and follows department budget as set by Company
  • Ensures departmental staff knowledge and participation in emergency procedures, fire safety, evacuation plan and disaster drills
  • Ensures departmental staff knowledge of Standard Precautions and Exposure Control Plan
  • Communicates job expectations and employee responsibilities to staff
  • Responsible for departmental personnel matters
  • Completes orientation program and skills checklist for all new departmental employees prior to their assignment of duties

Job Standards

Education: Minimum of a high school education or equivalent is required. A bachelor’s degree in Business Administration, Accounting, Finance, or related field is preferred but not required.

Experience: Prior experience in medical billing, financial transactions, or accounting is required (minimum of 3 years requested). Prior supervisory experience is preferred but nor required. Will except one year experience at Satellite Med. Pay Rate is based upon experience level
