Administrative Assistant
Position Summary
Under the general and direct supervision of the Human Resource Manager this position provides administrative support for HR and other administration functions.
Primary Job Responsibilities

  • Human Resources
  • Assist in maintaining employee records and files in order to maintain full compliance with all record keeping regulations and requirements.
  • Assist in new hire process including documentation and orientation assuring proper documentation is complete and employees receive proper information, tools, work clothes, etc.
  • Maintain patient confidentiality per HIPAA guidelines and dignity per Satellite Med mission statement
  • Assist in the maintenance of health and welfare benefits to assure compliance and timely distribution and communication of information to employees and dependents
  • Support payroll process
  • Maintain employee postings and information centers
  • General Administrative
  • Pick up, receive, open, date, stamp, and deliver mail and/or other materials
  • Maintain records and files
  • Prepare reports and compose letters and mailings
  • Assist in the development and production of projects and communication materials
  • Assist supervisor or other administrative staff with assigned tasks
  • Proficient communication skills (written, verbal and phone) to interact with all levels of employees and public.
  • Maintain and order office supplies and materials for Office and Clinic
  • Make bank deposits

  • Perform complex and detailed data entry tasks
  • Gather and record statistical information for reporting purposes.

Required Qualifications

  • Minimum of a high school education or equivalent is required.
  • Certified Computer Training in MS Word, MS Excel, and MS outlook or equivalent experience
  • Ability to work independently
  • Familiarity with general business software such as payroll, time keeping, financial, telecommunication

Beneficial Qualifications

  • Preferred 1 year of experience (paid or volunteer) performing duties related to office or clerical support. Minimum typing speed of 40 words per minute.
  • Experience in healthcare setting
  • Experience with software programs: Wasp Time, Quick Books, MS Office (PowerPoint, Word, Excel Outlook), Adobe Acrobat, Kryptiq Secure Messaging, Biscom, GE Centricity.

Physical Requirements:

  • Majority of work is performed in a professional office setting and is generally sedentary, requiring routine walking, standing bending, and carrying of items weighing less than 40lbs.
  • Exposures: No unusual hazard. Potential risk of exposure to illnesses, blood-borne pathogens, diseases, and various chemical agents
