JOB DESCRIPTION

Summary

Under the general and direct supervision of the Clinic Coordinator, provides clerical, scheduling, and customer service support for the clinic. Perform other diverse duties as requested or required.

Essential Functions

Computer Systems: GE Centricity Practice Management (PM), GE Centricity Electronic Medical Records (EMR), Kryptiq Secure Messaging, Satellite Med Email and Website, Microsoft Word and PC Punch Time Clock.

Clerical: Maintain lists of patients waiting appointments, patients needing return calls and spread sheets related to responses from patients. Generate reports related to job functions as needed.

Scheduling: Become knowledgeable of all the templates in both departments and entering them efficiently. Work closely with Office administrator in this role. Schedule patients based on appointment type and need. Maintain schedules of providers by utilizing wait lists to fill in for canceled appointments and documentation of no shows. Have all appointments that fall outside of designated templates approved by supervisor or provider.

Customer Service: Make follow up calls to patients, reaching out to them with answers to questions and dissolution of complaints. Be accommodating and empathetic to patient needs. Maintains professionalism representing Satellite Med in a positive. Use creativity to reach out to patients thereby showing their value and worth to Satellite Med.

Phones: Utilize phone system properly, answer phones in a courteous manner, quickly identify caller’s needs, route calls appropriately, create complete flag and phone notes and route appropriately. Reply to all phone notes and flags in a timely manner.

Communication: Communicate with all staff, patients, and referring offices in an intelligent and professional manner using phones, EMR flags and phone notes, and Kryptiq secure messaging and Company email; utilizing each method when appropriate. Follows up and seek resolution to complaints per policy and problems and report them to departmental supervisor. Report all incidents as per policy

Supervisory Responsibility

This position has no supervisory responsibilities.

Work Environment

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. This position is also responsible for keeping the front lobby clean and stocked.

This position offers both part-time and full-time positions.

Preferred Education and Experience

· Minimum of High School Diploma or equivalent

· CPR and AED certification is recommended
