JOB DESCRIPTION

Summary

Under the general and direct supervision of the Corporate Administrators, provides administrative support for the clinic. Perform other diverse duties as requested or required.

Essential Functions

Computer Systems: PC Punch Time Clock, Microsoft Office Suite (latest version), Satellite Med Email and various websites, Adobe Reader/PDF, Kryptiq Secure Messaging, Biscom Faxing and Scanner. Existing and new computer systems can be changed or added at any time.

Phones: Utilize phone system properly, manage voice mails, answer phones in a courteous manner, quickly identify caller’s needs, route calls appropriately

Communication: Communicate with all staff, patients, and other healthcare providers using phones, CPS flags and phone notes, secure messaging, and Company email; utilizing each method when appropriate. Follow up and seek resolution to complaints per policy and reports them to the corporate administrative team. Appropriately discusses company and its services with the community.

Financial: Proper handling of money and payments. Reconcile with each employee from each cash drawer at each shift change.

Primary Duties

Prepare for and attend community and networking events as needed for recruiting. Ensure compliance with state and local laws. Follow equal opportunity employment guidelines. Recruit, train, supervise, and evaluate staff. Develop and Maintain ongoing employee development and training. Oversee compensation programs to ensure regulatory compliance and competitive salary levels. Oversee the design and development of compensation strategy and programs. Direct the administration of benefit programs. Evaluate and recommend improvements to benefit programs. Evaluate and update company handbook, policies, and procedures on ongoing basis. Recommend new company policies and procedures. Maintain information in Employee file; tracking and recording licensure of professional employees. Follow procedures to maintain a Drug Free Workplace according to state guidelines. Implements hiring process as new staff are needed. Communicate job expectations and employee responsibilities to staff. Maintain a reference library for the Human resource department. Properly interpret and apply employment laws, rules, regulations and policies.

  • Maintain proper attendance and punctuality to ensure that Satellite Med is operated in an efficient and cost-effective manner

Supervisor Responsibilities

  • Help lead and maintain a positive work environment
  • Assist staff in dealing with difficult patients
  • Troubleshoot issues and direct to the appropriate staff
  • Ensure procedures and processes are followed appropriately
  • Assist other supervisors with staff counseling
  • Help Corporate office to develop new workflows
  • Directs efforts at staff retention issues and minimizes employee turnover
  • Provides leadership and direction in accordance with organizational and departmental goals and objectives
  • Ensures knowledge of department/personal role
  • Responds to, provides direction to and supports staff during changing workloads and emergency/crises situations
  • Ensures that Compliance Laws and Regulations are followed
  • Communicates departmental and staff needs to corporate administrative team
  • Establishes and achieves high standards of performance
  • Assist Corporate to maintain the Department Guide
  • Maintains professional competence through attendance at various training courses, seminars, professional meetings

Work Environment

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. This position is also responsible for keeping the front lobby clean and stocked.

Position Type and Expected Hours of Work

This is a full-time position.

Travel

No travel is expected for this position.

Preferred Education and Experience

· Minimum of a high school education or equivalent is required. A bachelor’s degree in Business Administration, Human Resources, or related field is recommended.

· CPR and AED certification is recommended

· No experience is necessary; however it is requested to have experience in the medical field and/or experience in human resources. Pay is based upon experience level.
